This website, scaleforce.co.za, is operated by ScaleForce (Pty) Ltd ("ScaleForce", "we", "us"), a company registered in South Africa (registration number 2021/151114/07).

ScaleForce is the responsible party for the personal information described in this policy, as defined under POPIA.

1. Information we collect

We collect personal information in a few different situations, depending on how you interact with us:

  • When you contact us or submit a form (for example, "Start a conversation" or a discovery request): your name, email address, phone number, company name, and the details you share about your enquiry.
  • When you apply for or are considered for a role through our Talent service: your CV, employment history, qualifications, references, and related recruitment information.
  • When you browse our website: technical information such as your IP address, browser type, device type, pages visited and time spent, collected through cookies and analytics tools (see section 10).
  • When you subscribe to our insights or communications: your name and email address.

2. How we collect it

We collect information directly from you when you fill in a form, send us an email, call us, or apply for a role. We also collect information automatically through cookies and similar technologies when you visit our website (see section 9).

3. Why we process your information

We use personal information to:

  • Respond to enquiries and discovery conversation requests
  • Assess candidates and make placements through our Talent service
  • Deliver, administer and improve our Advisory, Teams and Talent services
  • Send relevant updates or insights, where you've agreed to receive them
  • Understand how our website is used, so we can improve it
  • Meet our legal, tax and regulatory obligations

4. Our lawful basis for processing

We only process personal information where we have a lawful basis to do so under POPIA, which includes: your consent (for example, subscribing to updates), the processing being necessary to take steps towards or perform a contract with you, compliance with a legal obligation, or our legitimate business interests, provided these do not unreasonably override your own privacy rights.

5. Who we share information with

We do not sell personal information. We may share it with:

  • Service providers who support our operations, such as our website host, email and CRM providers, and cloud storage providers, under agreements that require them to protect your information
  • Clients, where relevant to a Talent placement or referral, and only with your knowledge
  • Professional advisors, regulators or authorities, where required by law

6. Cross-border transfers

Some of our service providers, such as cloud hosting or software tools, may store or process information outside South Africa. Where this happens, we take reasonable steps to ensure the recipient is subject to a level of data protection that is at least equivalent to POPIA's requirements.

7. How long we keep it

We keep personal information only for as long as necessary for the purpose it was collected, or as required by law, tax or recordkeeping obligations. Recruitment information collected through our Talent service is retained for a period after an engagement concludes, in case of a future suitable role, unless you ask us to delete it sooner.

8. How we protect it

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration or disclosure, appropriate to the sensitivity of the information involved. No system can be guaranteed completely secure, and we will notify you and the Information Regulator if we become aware of a security compromise affecting your personal information, as required by POPIA.

9. Cookies and website analytics

We use cookies and similar technologies to understand how visitors use our website and to improve it. This may include analytics tools that collect anonymised or pseudonymised usage data. You can manage or disable cookies through your browser settings; doing so may affect how parts of the website function.

10. Your rights

Under POPIA, you have the right to:

  • Ask us to confirm what personal information we hold about you, and access it
  • Ask us to correct or update inaccurate or outdated information
  • Ask us to delete or destroy personal information we no longer have a lawful basis to hold
  • Object to our processing of your personal information in certain circumstances
  • Withdraw consent at any time, where our processing is based on your consent, without affecting anything already done before you withdrew it
  • Lodge a complaint with the Information Regulator (see section 13)

11. Children's information

Our website and services are directed at businesses and professionals, not children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or the law. Your continued use of the Platform constitutes acceptance of the updated policy.
